# AFS Travel Policies and Information

AFS in this document refers to Adventures For Solo Travelers and Adventures For Singles Inc., which are one and the same entity.

## 1. General Notes – Trip Tips: It is your responsibility to read the Trip Tips posted online for your trip. Our tours are designed for you to meet new friends and enjoy group travel benefits.

– Seat Rotation and Smoking: We encourage a seat rotation system and have a no smoking policy onboard our motor coaches.

– Tour Costs: Costs are based on a minimum number of participants. If this minimum is not met, new pricing may be required.

– Cancellation Policy: AFS reserves the right to cancel or reschedule any tour based on operating requirements.

– Health Requirements: You must be in good health. If you are disabled, we request that a companion accompany you.

– Disruptive Behavior: AFS reserves the right to refuse service to any participant deemed disruptive.

– Timeliness: You are responsible for being on time for flights and tours. No reimbursement will be provided for missed portions due to absence.

– Agreements: Deposits and payments for the tour indicate acceptance of the terms and conditions and cancellation policy outlined in this agreement.

## 2. Passports and Visas – Passport Responsibility: Each traveler must provide AFS with accurate passport information. Your passport should have two (2) blank pages and be valid for six (6) months after the tour’s conclusion.

– Flight Issues: Travelers missing flights or denied boarding due to improper documentation will not receive compensation or refunds.

– Visa Responsibility: Travelers must obtain any required visas independently. AFS can provide guidance in Trip Tips, but we do not offer a passport and visa service.

## 3. Tour Documents – Itineraries: Daily itineraries are available on our website until the trip concludes. Trip Tips are emailed multiple times to each traveler and include instructions for accessing the latest information.

– Electronic Tickets: Most tour documents and air tickets are electronic, and paper copies are generally unnecessary. Reservation and confirmation numbers will be provided once tickets are issued.

## 4. Air Travel (When Offered) – Liability: AFS is not liable for personal injuries, property damage, or other losses related to air travel, including delays and cancellations.

– Flight Confirmation: It is your responsibility to confirm flight times 24 hours before departure and 72 hours for international flights.

– Check-in Recommendations: For international flights, check in at least three hours before departure.

– Frequent Flyer Miles: Earning frequent flyer miles is up to the airline’s discretion. AFS is not responsible for denied mileage or upgrades. Seat assignments are not guaranteed.

## 5. What is Included– Included Services: Sightseeing per itinerary with English-speaking guides, meals, entrance fees, transportation by deluxe motor coach, and accommodations.

– Not Included: Personal expenses (e.g., phone calls, WIFI fees, optional excursions), beverages, souvenirs, meals not on the itinerary, and specific gratuities.

## 6. Trip Deviations – Individual Arrangements: AFS does not assist with individual travel arrangements. Any requested deviations may lead to a price increase.

## 7. Travel Insurance – Recommendation: Travel insurance is highly recommended to protect your investment. It can mitigate additional costs and penalties and should be purchased 14 to 21 days after the initial deposit.

– Policy Coverage: Insurance policies cover lost luggage, medical expenses, trip interruptions, emergency evacuation, etc. Note that many individual policies may not cover emergencies abroad.

## 8. Accommodations – Hotel Assignment: Every effort will be made to use specified hotels; however, changes may occur. Substituted hotels will be of equivalent quality.

– Room Assignment: Hotel rooms are assigned on a “run of the house” basis, meaning room size, views, and locations may vary.\

## 9. Single Occupancy Accommodation

– Roommate Matching: If AFS cannot secure a suitable roommate match, travelers will be offered a single occupancy accommodation option for an additional fee. Failure to remit the single supplement may result in reservation termination with a full refund.

## 10. Land Prices – Price Guarantee: Land prices are not guaranteed until final payment, and fluctuations in foreign currencies may affect pricing.

## 11. Health Issues – Good Health Requirement: You must be in good health. Please inform us of any disabilities or conditions affecting your trip ability at the time of booking.

– Special Dietary Needs: Notify us as soon as possible about any special dietary requirements, as accommodations may vary by country.

## 12. Fitness Level – Daily Activities: Participants should be capable of moderate physical activity. AFS trips typically involve walking, sometimes on uneven terrain.

– Limitations: If you require any special accommodations, please inform us at the time of booking to avoid issues during the trip.

## 13. Postponement – Health and Safety Priority: The health and safety of our guests is paramount. Travel insurance is strongly recommended for securing your investment, especially considering ongoing travel advisories.

## 14. Moving Initial Deposit to a Different Trip – Transfer Requests: You may request to transfer your trip deposit to another available trip, subject to a $50 transfer fee. Only one transfer per year is allowed.

## 15. Responsibilities – Independent Contractor: AFS operates as an independent contractor, and services are provided by individual suppliers. 

– Document Notices: All notices from AFS will be sent via your provided contact information, while your notices to AFS should be sent via the contact email provided.

## 16. Jurisdiction and Validity – Legal Jurisdiction: Any legal proceedings shall take place in Cobb County, Georgia.

– Validity: Should any provisions of this agreement be deemed invalid, the remaining provisions shall still apply.

## 17. Indemnification and Limitation of Liability – Indemnification: You agree to indemnify AFS for any liabilities resulting from your participation in AFS-organized trips.

– Limitation of Liability: AFS is not liable for loss or damage beyond their profit for the trip in which the liability is incurred.

## 18. Force Majeure – Definition: A “Force Majeure Event” includes unforeseen circumstances beyond AFS’s control, such as acts of war, natural disasters, and pandemics. AFS is not liable for cancellations resulting from such events.

## 20. Entire Agreement – Comprehensive Understanding: This Agreement constitutes the entire understanding between the parties and supersedes any prior agreements or representations. AFS reserves the right to modify this agreement.
